Step 3: How to Use the Generators

Creating an Invoice

An invoice is a bill you send to a client after completing work. Open the Invoice Generator, type in the client's name, add what you did and the price, then hit Print to save as a PDF. Send it by email.

When to use it: Every time a client owes you money for completed work.

Writing a Proposal

A proposal is a document you send before starting work. It explains what you'll build, how long it'll take, and what it costs. Clients sign it to confirm they agree. Always get a proposal signed before starting any project.

When to use it: Before you start any project, even for friends or family.

NDA (Non-Disclosure Agreement)

An NDA is a legal document that says "I won't share your secret business information with anyone." Some clients ask for one before they'll tell you about their project. It protects both sides.

When to use it: When a client asks for confidentiality, or before discussing sensitive business ideas.

Quoting a Project Price

Before sending a proposal, use the price calculator to work out what to charge. Tick the services you'll be doing and it adds up the total automatically. You can apply a discount and set a deposit amount.

Tip: Always ask for a 50% deposit before starting any work.

Using AI to Help You Work

AI tools can write emails for you, generate images, create videos, and do research in seconds. The AI Prompt Builder helps you write the right instructions so the AI gives you a useful answer instead of a generic one.

Start with: Claude for writing and research. Midjourney for images. CapCut for video editing.

Writing Marketing Copy

Marketing copy is the text used in ads, social media posts, emails, and flyers. The Marketing Copy Generator creates multiple versions for you. Just fill in your business name and what you're selling.

Step 5: Glossary (Plain English)

Terms you'll hear constantly in this industry, explained simply.

Domain Name
The website address, like "google.com" or "codexeliteltd.com". You rent it annually from a registrar like Cloudflare or Namecheap.
Hosting
Where the website's files are stored so people on the internet can see it. Like renting a plot of land for your house (the website).
WordPress
The most popular platform for building websites. Think of it as the engine under the hood. We build many client sites with it.
UI / UX
UI = how something looks (buttons, colours, layout). UX = how something feels to use (is it easy? confusing? fast?). Both matter.
API
A way for two software tools to talk to each other. Like a waiter taking your order to the kitchen and bringing back the food. The API is the waiter.
SEO
Search Engine Optimisation. Making a website appear higher on Google search results so more people find it without paying for ads.
Responsive Design
A website that automatically adjusts its layout for phones, tablets, and computers. All websites we build must be responsive.
CMS
Content Management System. Software that lets clients update their own website content (text, images) without knowing how to code. WordPress is a CMS.
Wireframe
A rough sketch or blueprint of a website before we build it. Shows where things go without any colours or real images: just structure.
Deposit
Money paid upfront before work begins. We always ask for 50% before starting. This protects us if a client disappears without paying.
Scope Creep
When a client keeps asking for extra things beyond what was agreed, without paying more. Always get scope in writing and charge for additions.
Handover
When the finished project is delivered to the client, with instructions, logins, and everything they need. Usually happens after final payment.
Prompt (AI)
The instruction you give to an AI tool. The quality of what the AI produces depends almost entirely on how well you write the prompt. Bad prompt = bad result.
Retainer
A monthly fee a client pays to keep us available. Instead of one big project, they pay monthly for ongoing work, like website maintenance or social media.
Freelance
Working independently rather than being employed. Code X Elite operates as a freelance agency. We work for multiple clients, not one company.
Invoice
A formal bill. After completing work, you send an invoice to the client. It lists what was done, the cost, and payment instructions. Always keep copies.
Frequently Asked Questions
Do I need to know how to code to use these tools?
No. The generators, AI tools, and resource pages are built so anyone can use them. You fill in information in plain English and the tool does the technical work. Coding knowledge is useful but not required for most tasks here.
Are these tools free?
All the generators on this website (invoice, proposal, NDA, collage maker, etc.) are completely free, no account needed. The external tools linked in the resource pages have their own pricing, which is shown on each card (Free, Freemium, or Paid).
What AI tool should I start with?
Start with Claude (claude.ai) for writing and answering questions: it's the best for text. Then try CapCut for video editing (very beginner friendly with templates). Midjourney is excellent for images but costs money. Check the AI Tools page for a full list with descriptions.
What if I make a mistake in a generator?
No problem: nothing saves automatically. Just edit the fields and the preview updates live. Nothing is sent anywhere until you click Print or Copy. You can't break anything.
What is the difference between a proposal and a contract?
A proposal outlines what you'll do and what it costs. It's sent before the client agrees. A contract is a legally binding document both parties sign. Our Proposal Generator includes a signature block, making it serve as both. For larger projects, consider an NDA and a separate service agreement.
How do I talk to a client who asks about something I don't know?
Be honest and confident. Say "Let me confirm the details and get back to you today." Then use Claude to research the answer. You don't need to know everything: you need to know where to find the answer quickly. That's what this hub is for.
What if a client doesn't want to pay?
This is why we always get 50% upfront and use signed proposals. If a client refuses to pay the remaining balance, you have the signed proposal as evidence. Never deliver the final files until final payment is received. For St. Kitts and Nevis, small claims and written agreements are enforceable.
